Updating an complex database system like CheckIn can be a complicated process -- to make it easier for end users, we've built a tool to assist with this process.
Please follow these steps to upgrade CheckIn:
1. On your FileMaker server, enter the
FileMaker Server Admin Console through Safari at the following address: <http://127.0.0.1:16001/admin-console/signin>. (During the FileMaker server installation, this was added to the Favorites bar in Safari, and a link was added to your Desktop.)
2. Go to the "All Databases" section (on the left side), click on the down arrow
icon, and select "Close All." (Once the Databases are closed, the small icons to the left of each database will no longer be blue.) Note: you can send a message or disconnect Users listed in the "Clients section" (on the right) if necessary.
3. Download the FileMaker file called “CheckIn Data Migration Tool for 1.0bxx”. Note: the version number will change with each new update.
4. Move the “CheckIn Data Migration Tool” to the "Databases" folder at /Library/FileMaker Server/Data/Databases. Note that this is the Library folder at the root level of the Storage.
5. Launch the “CheckIn Data Migration Tool" by double-clicking it.
6. The window seen below will appear, with the appropriate checkboxes already selected. (For some updates we may also ask that you check the "Printing" box.)
7. Click “Start Data Migration & Update,” in the top right. This will trigger the backup of your files, the installation of new
files and a Terminal process that will migrate your data to the new data file. (The backup copy of your existing database will be made
and placed in a folder called “Removed_by_FMS/checkin_backup_MM_DD_YYYY”.)
8. A Terminal window, and a "Notice" will appear. Before you click OK to dismiss the "Notice," check the Terminal window to make sure the migration process is complete! Once the last line of the Terminal window says "End," with today's date, you can click OK in the Notice window.
9. Click "Close" on the Migration Tool window, in the top left. Remove the “CheckIn Data Migration Tool” from Databases Folder and move it to the Trash.
10. IMPORTANT! You must set the correct permissions to
your new CheckIn files in order for FileMaker Server to host
them. Select (without opening) the "Databases" folder at /Library/FileMaker Server/Data/Databases, and type COMMAND-I (for "Get Info"). At the bottom of the window, click on the "gear" icon and select "Apply to enclosed items..." (You may need to click on the "padlock" icon on the right and enter an administrator password.)
11. Enter the
FileMaker Server Admin Console through Safari at <http://127.0.0.1:16001/admin-console/signin>. Go to the "All Databases" section and select "Open All." (This will open each the CheckIn
databases that had been closed earlier, and the the small icons to the left of each database will be blue.)
At this point, you can launch FileMaker and log into CheckIn at each workstation. Note: If you are instructed to update the Printing file during the upgrade process, you will need to go through the Printing Setup Instructions to reconfigure each workstation for printing.
